In my office we currently use iCal to keep track of when a room is booked and with who, and then just keep a paper work order to log hours through the session. When we were just starting out with a few rooms it was perfect. As we've grown over the years, it has been able to adapt, but it's a method that is starting to show some holes.

I've used ScheduALL before, but it's way more than what were looking for, both in features and in price. I've found FastTrack Schedule 10 which seems like a contender. But I wanted to see if anybody here has a personal recommendation of scheduling software that changed their life.

Nothing earth-shattering here - we're currently using Google Calendar. Not the greatest/most versatile but with a little bit of work it can keep track of all you need it to... easy access from mobile/home as well.

Most of the shows I'm on lately have a Google calendar set up, so I usually have about 4 calendars going. Nice to have them all in 1 place. –  Joe Griffin Dec 7 '10 at 0:29

Though my day job isn't audio related in the slightest (despite the incredible amount of power amps, studio monitors, and Apple products), I do deal with scheduling software on an almost daily basis.

We use EventPro, which is pretty good. Our only issue with it is that, being Canada based, we have to pay for international long distance for any support.

We've only been using it for about a month, so I'm still learning it, myself, but it's better than Outlook, which was our previous solution.

I use NOW Up To Date for OSX and the calendar document sits in my dropbox, so its synced to all my Macs...

I just moved a big part of my life to Google. For project management I'm using Manymoon paired up with Google Apps, Google calender and Gmail. I only just started, but seems perfect for my needs!

UPDATE: Just found a new project management tool, it's Action Method by Behance. It's awesome! And it has an iPhone and iPad app.

@Steve Well before, nothing was centralized. My needs for scheduling aren't big, I purely used Google calender synced to my iPhone and iCal. I ran my hosted email through the Mail app but without IMAP (email sync), and used Google calender from my non-work Gmail account to schedule work. Used address book for contacts, or names cached into my mail app... so I'm happy to have a system that is centralized and allows me to access from wherever and most importantly keep information organized. Between Google Docs, Calender, and ManyMoon, it's super to collaborate on a project! –  Andrew Spitz Sep 14 '10 at 19:24

+1. My firm and every side-project I'm on for the last 2 years has used Google Calendar. Treat every recording or meeting room like an attendee to be invited, like a person, and it works great. Ties right in with Google Docs for using Google Spreadsheets as session logs! (No internet access, though, no dice, that's the caveat you pay for free!) –  NoiseJockey Sep 16 '10 at 0:31

We use Yahoo Calendar, but we're about at the point of outgrowing it.

What would be useful would be software that does the following:

  • Resides entirely online in a format accessible by smartphones (IOW not flash)
  • Is able to track control rooms, booths and engineers separately
  • Displays schedule conflicts
  • is ergonomic. Yahoo calendar and google are just not that, and many other solutions are not either. design in minimal clicks for maximum results please.

Entourage running a shared calendar here on an Outlook server. Everything else is done in Excel and Word

In a former life I was a certified Daylite consultant and I've implemented it for a number of music, post and sound companies in NYC and the rest of the world. They all love it. For Mac only:

Since being turned on to the Omni Group's "Omni line" of productivity applications I've been hooked and won't look back. I do sound design, preset libraries and beta testing for a plug-in company that is essentially a one man operation. My colleague asked one day if I had any ideas for a plug-in concept and boy did I. This turned into a situation where I'm doing the design and he's doing the programming. For the design and getting the ideas out of my head he suggested OmniGraffle.

He initially showed it do me because It's really good for dumping data and ideas out of your hear and into the computer, then it's ridiculously simple to manage, modify, arrange, associate, link and everything else you might want to do with a random documented thought ad-infinitum. I started using it to make lists of features, ideas and random and then I set into doing block diagrams in it. An example would be lock diagrams of the signal flow and dsp stages of the plug-in.

After that experience I checked out their other products and they're all equally as great and compliment each other amazingly well. The other one's I use are OmniFocus, OmniOutliner and OmniPlan, as they all do something different, equally as important and simply compliment each other. Similar workflows in all of them. They also have ipad and iphone versions so you can work on the go and they all stay synchronized (with backups is set in preferences. Overall I'd say I'm really happy with them.

It's basically a software suite consisting of standalone programs that have been painstakingly considered and perfectly executed (considering their intent and how hard that is to usually achieve). They're done so well that if you using their software the way it's intended will make you more organized, efficient and minimize (and prevent doubling of) efforts on tasks or other things and so on. Effectively helping you to help yourself and streamline and effortlessly manage your life. Check out some of the videos they have on their site. Once they start showing you stuff the software practically sells itself.
